2.1  Webmaster – Unit 390 Associate Position

The Webmaster shall:

  • Maintain the Unit Website

o   Ensure that the website domain name registration is kept current and webhosting services are renewed as needed

o   Update information on the website as needed

  • Club News and Results

o   On an ongoing (daily) basis, update the “Club News and Results” page with event information provided by the Bridge Clubs

o   Remove event information after each event is completed

o   Update the Club Index, “Where to Play” maps and information, and “Weekly Schedule” database (required when a new club is formed, an existing club closes, or a club adds, changes or deletes one of its games).

  • Home Page

o   Create and post JPG or GIF “icons” advertising major Unit or Community events (eg. Sectionals, Regionals, special Unit events or games).

o   Store event information [provided by the Event Coordinator or created by the webmaster] on the web database and link it to the event “icon”.

o   A week or 10 days before each club event, create an event “icon”; post the “icon” and a description of the event on the home page under the “Upcoming Club Events” and link the “icon” to that club’s section on the “Club News and Results” page.

o   Add information of interest to the Unit 390 community (President’s Message, Information on Mentoring Program, new initiatives/events within the Unit, etc.) to the home page.

  • Master Points

o   Once a month (normally late on the 6th, as soon as the ACBL has posted master point updates) download the master point records for all players within Unit 390.

o   Sort the players by descending master point totals and create a PDF of the sorted list for storage on the web’s database.

o   Modify all web links to the master point list (and their description) to address the new list.

o   Once a year (as soon as the ACBL has created master point race lists for the New Year) change all code pointing to the master point races to point to the New Year’s information.

  • Other Website Pages and General

o   Modify and maintain the 150+ pages of the website as needed (several have regular updates, others change only infrequently).

o   Add news items to the website for Unit events, obituaries, other items of interest to the Unit membership.

o   Add a news item to inform members of changes or additions to the website (eg. new features, articles, event photos, archives, etc.).

o   On a regular basis check all of the external links to make sure that they still work (and correct or delete them if they don’t).

o   Ensure all HTML code is properly backed up and regularly check integrity of all backups.

o   Ensure that material posted on the website complies with copyright requirements, as well as Unit and ACBL policies.

  • Create and Maintain FTP accounts

o   Create and administer ftp accounts for each club manager / owner to allow them to post game results and hand records to the website.

o   Assist the owners / managers when they have problems using the file transfer program or when they are unable to properly post their information.

  • Administer Unit Email Accounts

o   Create email accounts for each of the Unit Board Members and Associates.

o   Advise on how to use the email accounts and set up “forwards"

 

2.2  Asset Manager – Unit 390 Associate Position

The Asset Manager shall:

  • Work under the direction of the Unit 390 Board.
  • Develop policies, maintain, control and monitor assets in accordance with Unit 390 requirements.
  • Develop and oversee the implementation of a Unit 390 Asset Management System.
  • Develop asset needs, assessments, acquisition management, operational and disposal plans.
  • Develop, implement and manage mechanisms to safeguard assets.
  • Develop and oversee all lease agreements.
  • Report on asset management at the Annual General Meeting.
  • Prepare a yearly list of assets for archiving purposes.

 

2.3  New Member Liaison – Unit 390 Associate Position

The New Member Liaison shall:

  • Work under the direction of the Membership Director
  • Once notified of new members (from Membership Director), mail newcomer packages
  • Newcomer package includes:

o  Welcome and Information Letter

o  2 Unit Free Plays

o  1 Bridgejoy Free Play

o  Telephone Directory

o  Convention Card Holder

  • Track free plays from unit.
  • Contact new members who have not used their free plays.
  • Receive scanned copies of used free plays from Treasurer (for checking)

2.4  Notices – Unit 390 Associate Position

The Notice Individual shall:

  • Work under the direction of the Unit 390 Board.
  • Maintain (add, delete and upkeep) member email addresses.
  • Determine and distribute membership-worthy emails within Unit 390.
  • Adhere to Unit 390 and ACBL Privacy Policies.
  • Work closely with Membership Director.
  • Provide statistics of notice dissemination as required.

2.5  Mentorship - Unit 390 Associate Position

The Mentorship Committee shall:

  • Work under the direction of the Unit 390 Board.
  • Determine a Strategic Plan for a Mentoring Program.
  • Set parameters for Mentors and Mentees.
  • Solicit and match Mentors and Mentees.
  • Identify a Reward System for Mentors.

2.6  Trophies – Unit 390 Associate Position

The Trophy Individual shall:

  • Work under the direction of the Unit 390 Board.
  • Work with webmaster to update electronic records of trophy winners.
  • Update trophies for yearly presentations (engravings).
  • Ensure trophies are on-site for presentations.
  • Ensure pictures of the recipients are taken and forwarded to the webmaster.

 

2.7  Conduct & Ethics – Unit 390 Associate Position

The Conduct and Ethics Individual(s) shall:

  • Act on disciplinary matters in accordance with the ACBL Code of Disciplinary Regulations. Contact the ACBL to determine proper discipline.
  • Report decisions to ACBL in writing.

 

2.8  Recorder – Unit 390 Associate Position

The Recorder shall:

  • Receive, investigate and evaluate Player Memos.
  • Educate reporters and subjects about proper behaviour and ethical behaviour in accordance with the Laws of Duplicate Bridge and the ACBL Code of Disciplinary Regulations.
  • Communicate, as appropriate, with those involved in a reported incident, especially the reporter and subject.
  • Maintain a record of all player memos including investigation and resolution.
  • Make or assist with an impartial presentation of evidence to a disciplinary committee or prosecute the complaint on behalf of the appointing organization or his or her own belief, when selected or appointed to do so. (See ACBL Recorder Regulations and Procedures).

  

2.9  Caddy Master – Unit 390 Associate Position

The Caddy Master shall:

  • Work under the direction of the Unit 390 Board
  • Recruit and train caddies for Unit 390 tournaments
  • Assign caddies to the various sessions of a tournament
  • Check with the Director to make certain enough caddies have been assigned
  • Keep financial records for the caddies.

2.10  Unit Newsletter: Editor of Kibitzer – Unit 390 Associate Position

The Unit Newsletter Editor shall:

(Note: With the exception of content explicitly requested by the Board, the Editor has the discretion to decide what material will be included and in what format.)

  • Work under the direction of the Unit 390 Board.
  • Decide on the content of the issue.
  • Decide on the overall format for the issue.
  • Assemble the content (typing, formatting, proofreading, etc.)
  • Distribute first draft for proofing.
  • Modify and correct the document as required.
  • Send the document to the Unit 390 webmaster for posting on the web site.
  • Request that a notice be sent to Unit 390 members regarding availability of the new issue.

2.11  Unit Journalist – Unit 390 Associate Position

The Unit Journalist shall:

  • Work under the direction of the Unit 390 Board.
  • Write and assemble news stories that could interest Unit 390 members.
  • Submit any possible controversial story to Unit President prior to posting.
  • Forward articles to webmaster for posting on the website.

 

2.12  Photographer – Unit 390 Associate Position

The Photographer shall:

  • Work under the direction of the Unit 390 Board.
  • Solicit permission to take photos of Unit 390 bridge players for posting on the website.
  • Take photos of recipients of Unit 390 awards for posting on the website.
  • Take photos at Unit 390 special events.
  • Forward photos to Webmaster for posting on the website.

 

2.13  Cards and Best Wishes – Unit 390 Associate Position

The Cards and Best Wishes Individual shall:

  • Work under the direction of the Unit 390 Board.
  • Mail cards and best wishes to Unit 390 members.

 

2.14  Partnership Desk – Unit 390 Associate Position

The Partnership Desk Individual(s) shall:

  • Work under the direction of the Tournament Coordinator.
  • Open the Partnership Desk at least 45 minutes before game time.
  • Take partnership requests prior to game time and match players to best ability.
  • Arrange for candies to be available prior to each session of tournament.
  • Sell tickets for Sunday lunch if necessary.
  • Arrange box for lost and found at partnership desk.

 

2.15  Unit Club Championship Sanctions – Unit 390 Associate Position

The Unit Club Championship Sanctioning Individual shall:

  • Work under the direction of the Unit 390 Board.
  • Allocate and apply for sanctions for Unit Championship Games.

o   One Unit Championship is allocated to each club each year.

o   One Unit Championship is allocated to the Bidwell Christmas Party.

o   One Unit Championship is allocated for Unit 390 AGM.

o   One Unit Championship is allocated for Unit 390 Rookie Master Team Event.

o   Remaining Club Championships are allocated at the discretion of Unit 390.
